Retained for 6 years after the client’s last interaction with us.
Reason: To maintain accurate business records, respond to queries and meet tax/audit requirements.
Course enrolment records, training attendance and service delivery notes
Retained for 6 years after completion of the service.
Reason: For evidence of delivery, managing disputes and supporting returning clients.
Email marketing subscriber data (held in Go High Level)
Retained until the person unsubscribes or until 24 months of inactivity, whichever is sooner.
Reason: To ensure email lists remain accurate and only contain people who still want to hear from us.
Lead magnet downloads and general leads (Go High Level)
Retained for 24 months from the last interaction.
Reason: To follow up on interest and maintain accurate marketing records.
Financial records, invoices and payment information (Stripe and internal records)
Retained for 6 years from the end of the financial year in which the transaction took place.
Reason: Required by UK tax law.
Contractual documents (agreements with clients, suppliers and freelancers)
Retained for 6 years after the contract ends.
Reason: To manage disputes and evidence our obligations.
Customer support enquiries (email, forms, messages submitted through Go High Level)
Retained for 24 months from the last interaction.
Reason: To manage follow-up queries and improve service.
Zoom call logs and recordings (only if recordings are made)
Recordings are kept for 12 months unless required longer for course delivery; call logs are retained for 24 months.
Reason: To provide access to training sessions and maintain service quality.
Freelancer access logs or notes created while delivering services
Retained for 24 months, unless linked to a client file that must be retained for 6 years.
Reason: Operational necessity and quality assurance.
Website analytics data (aggregated or anonymised)
Retained for up to 26 months.
Reason: Standard analytics retention and performance monitoring.

This data processor does the following activities for us: They provide our customer relationship management system, store client and subscriber information, deliver our email marketing, manage course access and host forms and automations.

This data processor does the following activities for us: They securely process payments, manage billing information and provide fraud-prevention tools for online purchases.
